Service Property Management
Keep books and records of the Association and
maintain files containing records of common charges,
assessments, insurance polices, correspondence,
notices, receipted bills, and vouchers relating to
the Management Firm’s duties.
Deposit Association funds in a bank(s) designated by
the Association Board of Directors (ABOD), and held
in trust in special separate accounts not
co-mingled with other funds collected by Management
as agent for others.
Disburse payments for approved expenses.
Administer checking, saving and CD fund accounts.
Prepare, maintain and furnish a monthly and annual
accounting of all funds collected and disbursed.
Assist in the preparation of an annual operating budget for the
Association.
Handle and perform all billing and receipts for
common charges and other assessments due from the
Community Association members.
Notify the Board of any delinquent accounts among
the Association members.
Pursue collection of delinquent charges or
assessments as directed.
Consult with Association attorney for pursuit of
delinquent charges or assessments.
Arrange for suitable meeting place for board
meetings, special meetings and annual meetings.
Prepare and send meeting notices to HOA members,
officers and directors.
Attend board meetings, special meetings and the
annual meeting s directed.
Maintain a register of minutes of all board
meetings, special meetings and annual meetings.
Maintain a register of all Association members.
Advise the Association on and administer Association
liability insurance and common ground liability
insurance.
Advise the Board of any repairs or maintenance that
must be performed to keep the grounds in good order
and repair.
Supervise and oversee maintenance and grounds
keeping of the general common areas.
Prepare, solicit, award and administer contracts
necessary to repair, maintain or improve the
grounds.
Pursue and obtain competitive bids for services from
contractors.
Purchase, at the direction of the Board, all
supplies necessary to properly maintain and operate
the grounds.
Have tax returns prepared by a Certified Accountant,
at the choice of the Board.
Provide 24 hour answering service for emergency
situations.
Receive, investigate and respond to members’
complaints and correspondence.
Coordinate the Association’s legal proceedings and
collection efforts with the attorney for the
Association and appear in court, if necessary.
Assist the Board in the interpretation and
application of all documents pertaining to the
creation, maintaining or functioning of the HOA, as
well as any rules and regulations adopted by the
Board.

Financial Management
If your community does not require
all of the services of a Full Service Property
Management Company we also offer a lighter-fare of
services to smaller Community Associations. As your
Financial Management firm we will
